Refund and cancellation policy
How a HamaraPG subscription is billed, what happens the moment you cancel one, and when money comes back.
Read this first. This is a plain-English summary of how billing actually works in the software, written by the people who build it and not by a lawyer. It has not been reviewed by counsel, and it should be before launch. Where a commitment has not been made yet you will see a marked slot rather than an invented one.
Effective from [UNFILLED: date this policy takes effect]. It applies to subscriptions bought from Vedatricks Technologies Private Limited for the HamaraPG software. It has nothing to do with rent, deposits or anything else a resident pays a PG — we never hold that money and we are not a party to it.
How billing works, in four sentences
- The free plan costs nothing, needs no card and has no trial clock. 5 beds. There is nothing here to refund.
- A paid plan is prepaid for a fixed period: one month, or twelve months for an annual purchase, priced per bed on the quota you choose.
- The quote you see before you pay is exactly what is charged. The figure is computed on our servers and the payment link is built from that same figure, so nothing is added at checkout and the two cannot drift apart.
- Payment is taken by Razorpay, either as a one-off payment link — which never renews itself — or as a UPI Autopay mandate, which does renew until it is cancelled. Which one you are buying is shown at the time.
Cancelling
Cancel from the plan screen inside the product, at any time, without asking us. It needs the financial permission on your organisation, because cancelling somebody else’s subscription is the more damaging half of that authority.
Cancellation is honoured immediately. It is recorded in the same request, across every period your organisation holds, so an account that ended up with two overlapping periods cancels both rather than quietly continuing on one. If your plan was on a UPI Autopay mandate, we also tell Razorpay to stop it — at the end of the cycle you have already paid for, so cancelling never cuts short a period you bought.
You do not need to cancel a one-off payment link plan to stop being charged. It never charges again on its own.
What cancelling does not do
Nothing is deleted, nothing is hidden and nothing is exported away from you. Your properties, residents, invoices, receipts, agreements and expenses stay exactly where they are. What changes is access: the product closes and the billing screen stays open, so that paying again brings everything back in one step. We deliberately do not block sign-in, because the renewal is behind that door.
If instead of cancelling you simply let a period run out, features keep working for a further 14 days — being late should not read as an outage. What stops at once is growth: you cannot add beds beyond what you paid for. After that window the account becomes read-only, with every record still reachable and nothing changeable, until a renewal is paid.
When we refund
We refund in full, to the account the money came from, when the money should not have been taken:
- A duplicate charge — the same period paid for twice.
- A payment that took money but activated nothing. If a payment succeeded at Razorpay and your plan did not change, tell us: that is our failure and the full amount comes back.
- A charge after cancellation. If an Autopay mandate charges you for a period beginning after you cancelled, the full amount comes back.
- A charge you did not authorise. Report it and we will investigate with the gateway.
Refunds are made to the original payment method — we cannot send one somewhere else. Where a refund is due we will confirm it by email and Razorpay will return it to your bank on its own timeline. Our own turnaround commitment: [UNFILLED: refund turnaround commitment — number of working days].
When we do not refund automatically
Said plainly, because a policy that is vague here is a policy designed to be argued about later.
- The unused remainder of a period you cancel. Periods are prepaid and cancelling stops the next one; it does not, by itself, buy back the rest of the current one. You keep the access you paid for until the period would have ended.
- A period you paid for and did not use. The service was available.
- A downgrade mid-period, or a bed quota you bought and did not fill. The next purchase can be smaller.
- Taxes and gateway charges that are not ours to return.
That is the default, not a wall. If something genuinely went wrong — you were charged for a year within days of buying and the product turned out not to fit, an annual plan was bought by mistake, a member of your team bought the wrong thing — write to us and say what happened. We would rather settle a fair case than keep money from someone who is going to remember it. A discretionary refund is decided case by case and is not a precedent.
Chargebacks
Please talk to us before raising a chargeback with your bank. A chargeback freezes the conversation, costs both sides, and takes longer than answering an email. Where money is genuinely owed to you, we will return it.
How to ask
Raise a ticket from inside the product — that is the fastest route, and it arrives with your account attached. If you cannot sign in, write to info@hamarapg.com. Tell us the payment date, the amount, and what you expected to happen. Our phone number and an enquiry form are on Contact.
Changes to this policy
We will move the effective date at the top. A change never applies retrospectively to a payment already made.
